Accommodation rates need to be setup every year by a booking centre staff member. It is advisable to setup new holidays and new rates every December for at least the next 3 years. So if the year is December 2006, rates and holidays will need to be setup for the 2009 year (ie at least 3 years in advance). You can also send out an email to all operators (using the enewsletter function or otherwise) letting them know that this has been done to give them the ability to change their rates if necessary.
It is important to note that if you do not setup your holidays and a client does an accommodation search for a particular operator (that has not had their rates setup yet), the rates year will be stored and no holidays will be setup for this operator.
Activate new rates year
Once you have entered in all your holidays for the new year you can then setup a new rates year for all your operators calendars by following the steps:
1.Click on Set Up New Rates Year from the Main Menu under the heading Administration.
2.Select the year from the drop down list that you would like to set up
4.A list of all operators who have had their calendars updated with the new holidays will appear.
PLEASE NOTE: This will only set up calendars for those operators who have not yet clicked into their rates calendar and pressed SAVE for the year that you are setting up. I.e. it will not over ride their customised calendars that they have already setup.
Copy Operator Calendar to Other Operator Calendar
TO USE THIS FUNCTION YOU WILL NEED TO SET UP AN OPERATORS CALENDAR WITH THE RATES YOU WISH TO COPY ACROSS TO ALL OPERATORS FIRST.
This function is used if you do not wish to set up the holidays list as a default Rate 2 in your operators calendars. You can set up a unique rates calendar that is different from the holidays list, by setting up one operators calendar. This can then be copied onto all of your operator’s calendars.
An example where this might be used is if you wanted mid week to be a Rate 1 (off peak) and ALL weekends a Rate 2 (peak) or for Wet and Dry Season Regions. You can also set up to 8 rates using this function.
1.Set up a Rates Calendar in an operator’s console.
2.Press SAVE for that year, you can also do the next year as well.
3.Locate the customer ID number.
4.To find this click on Operator Search from the Main Menu
5.Enter in the operator’s name that you have set the calendar up for and press SEARCH.
6.Click on Update Other Details
7.The customer ID number will appear in the top left of this screen
8.Copy this number.
9.Click into Set Up New Rates Year from Main Menu under the heading Administration.
10.Enter in the customer ID number and select the year from the drop down list that you wish to set up.
12.A list of all operators who have had their calendars updated with the new rates will appear.
