Exporting Client Data

Exporting your Clients’ Contact Details

Use this function to export clients’ details to a selected email address by following these instructions:

1. Select what information you wish to export.  You can export all information about the client, just email addresses or you can export just their address details.

2. If necessary select a criteria. More than one may be selected.

3. Enter the email address you want this information sent to

 

4. Click on Export.

An email will be sent directly to the requested address. The body of the email message will contain all the clients’ details as selected.

Converting These Details into a Database

1. Right click in the body of the email message and click Select All.

2. Right click again and select Copy.

3. Save this information as a text file using Notepad (open up Notepad by clicking Start / Programs / Accessories / Notepad). Once Notepad is open, click Edit / Paste. Save this text file onto your computer, making sure the name that you give the file still has the .txt file extension at the end of it.

4. Open up Microsoft Excel from Start / Programs / Microsoft Excel. In Excel, open the text file that you have just created. You will need to select either “Text Files” or “All files”, in the “Files of Type:” drop down box at the bottom of the Open window.

5. A “Text Import Wizard” box will now appear. In the “Choose the file type that best describes your data” select Delimited and click Next. In the “Delimiters” box, deselect Tab and select Semi-Colon and Comma and click Next. Click “Finish” for Step 3.

6. You have now created an Excel Spreadsheet database containing the client details that you requested.

When using this data to stay in contact with your clients, please make sure that you abide by the Anti Spam Laws.

Export Booking Details

There are 2 functions that provide the facility to export booking details - these functions can be accessed via the menu at the top of Bookeasy:

 

Clients - Export - Bookings / Bookings v2.

 

The Booking v2 function exports only the following information:

 

First Name

Surname

Operator

Arrival Date

Number Of Nights

PAX

Total Amount Charged

 

 

while the other export function provides many more fields.

 

Both these export booking options produce a .csv file which can be saved and edited using excel or used to be imported into other software packages.

Client Export Screen

To access the Client Export screen, click on Client Export under the Clients Details heading on the main menu.

Exporting your Clients’ Contact Details

1. Select the information for export: All Data (all information about the client), Email (just email addresses),  or All Addresses (just address details)
