Colour Coding of Reservations

All reservations in Bookeasy will have a colour code, depending at what stage of the booking process they are at:

 

Blue Booking

The booking is unconfirmed, it requires confirmation with the operator before payment can be made by the customer.

Red Booking

The booking is confirmed but requires payment.

Black Booking

The booking is confirmed and Paid in Full. Closed booking.

Green Booking

The booking is cancelled and should have had all payments (if applicable) refunded or reversed.

 

This colour coding of bookings is also used in the Member Console to indicate to the operator the current status of their bookings.

 

As soon as a booking is made (including Blue bookings) the operator's availability is adjusted.

 


 

Blue Booking: These bookings come from:

 

Customers making bookings on the website for 24 Hour operators.  This means that it is the Booking Centre's responsibility to contact the operator to confirm the booking so that the status can be changed to Red.  If the operator is unable to accept the Blue booking, it will need to be cancelled and will become a Green booking.  It is suggested that Booking Centre staff contact the customer to offer an alternative.

 

Staff are able to process Blue bookings via the staff console, this procedure is outlined in Reserved Booking.

 


 

Red Booking: These bookings come from:

 

Confirmed Blue bookings (see above)
 

Bookings made by staff via the Staff Console - it is presumed that staff contact 24 Hour operators to confirm rates and availability BEFORE progressing past the Shopping Cart
 

Bookings made via the website for Gold Medal operators (instantly confirmed)
 

Once bookings are confirmed, payment must be made by the customer.  The Booking Centre is responsible for following up customers to make payment arrangements.  The payment can then be recorded against the Itinerary and once paid in full the status is changed to Black.

 


 

Black Booking: These bookings come from:
 

Confirmed Blue bookings that have been paid in full.
 

Red bookings that have been paid in full.
 

The booking is considered Closed. If the booking does not have full payment recorded but is closed, this usually means that the operator will pick up the remainder of the payment from the client directly.

 


 

Green Booking: These bookings come from:
 

Blue bookings that can not be confirmed by the operator
 

Red bookings where the customer has changed dates or cancelled their itinerary
 

Black bookings where the customer has changed dates or cancelled their itinerary (all payments need to be refunded)
 

Only Booking Centre staff can cancel a booking.  They may hear from the operator that the request is not available OR the customer may need to cancel this particular booking (i.e. to book new dates, to cancel itinerary completely).

 

At each stage of the booking process, once a booking colour status is changed, the appropriate Automatic Email will be sent to the Operator and the Client.
