The Booking Administration screen contains important options and functions for the Bookeasy system. Use the information below to complete the options on this screen;

 

Field

Description

Email Compulsory on Bookings and Accompanying Text

Booking Centres can opt to make the client's email field mandatory for bookings made through the website.  If this function is Enabled, clients will not be able to proceed with an online booking unless and email address is entered.

 

Booking Centres have the option to add text adjacent to the email field on the website to instruct the client on what to do if they don't have an email address ie if you do not have an email address, please contact XX Visitor Centre direct to make this booking.

 

When enabled, the client will need to enter text in the correct format i.e. user@domain.com.au.  Bookings made via the Staff Console will only require Booking Centre staff to enter any character into this field to proceed.

Star Rating

If this function is Enabled, the star rating of Accommodation properties will be displayed on the Accommodation search results screens and also the Show All page.

Affiliate Link

Booking Centres signed up with Roamfree as an Affiliate will receive an Affiliate link ID that can be pasted into this field.  Once this is done, log out and log back in, the Roamfree GAS Affiliate Link option will now be displayed on the Main Menu of the Staff Console under the Make Reservation | Sales heading.

Text Displayed on Itinerary

Text entered here will display on all client Itineraries.  This is a great place to promote upcoming events or deals or simply to thank the client for booking with your centre.

Enable Tax Receipt

(Applies only to Booking Centres using Bookeasy Retail Manager)

For Booking Centres unable to print til receipts using a thermal docket printer.  If this function is Enabled, Retail receipts will print to the default printer.

Display Complete Availability Only

(Applicable only for Accommodation Availability Searches performed within the Staff Console)

If this function is Enabled, only rooms that are 100% available for the specified date range will show in the accommodation search results.  The first box in the Options section of the Accommodation Search screen will default to ON (see below).

Enforce Booking Conditions

(Applicable only for Accommodation Availability Searches performed within the Staff Console)

If this function is Enabled, only rooms without conflicting Booking Conditions will show in the accommodation search results.  The second box in the Options section of the Accommodation Search screen will default to ON (see below)

Enforce Complete Availability Only/Booking Conditions and Hide Externally

(Applicable only for Accommodation Availability Searches performed on the website)

If this function is Enabled, both Options tick boxes in the Accommodation Search screens (see above) will default to ON and be hidden from view on the website.

Hide Location Search Externally

If this function is Enabled, the Locations tick boxes will be removed from the search criteria on the Accommodation Search screen.

Rotate Accommodation Groups

If this function is Enabled, the Accommodation Groups will rotate alphabetically each day in the Accommodation Search results screen.

Email Info

Text entered here will display on all automatically generated emails to clients.  This is a great place to promote upcoming events or deals or simply to thank the client for booking with your centre.

Auto Booking

If this function is Enabled, ALL bookings made via the website will be instantly confirmed.

Follow Up Flag

This function will apply Follow Up Flags to ALL bookings due within a set number of days i.e. the number of days entered into the days box.

Credit Cards

Tick the card icons accepted by the Booking Centre for payments made via the Online Gateway i.e. SecurePay.  If Amex or Diners is chosen, these first need to be activated by the Booking Centre's bank and gateway provider.

Cancellation Desc

Enter the Cancellation Policy of the Booking Centre.  This will appear on the screen for clients to read and accept before a booking is processed.  This text will also be displayed in bold font on the client's Itinerary.

Must Pay Online

This function can only be Enabled by Bookeasy staff.  Once Enabled, all Gold Medal bookings made online must also be paid in full at time of booking.
