Non-Member Booking

You can book operators that are members and operators that are not members.

 

If you would like to book operators that are NOT members you can add them into Bookeasy but you need to make sure that Current Member on the Update Other Details screen is NOT ticked.

 

This will mean that the operator will NOT show on the website for online clients to book, but you will be able to book them internally.

 

To book them internally, you will need to do an Operator Search, then click on Add Booking.  This will take you through to the shopping cart where you are able to update their booking details and proceed to make a booking.

 

EXPLANATION NUMBER 2

Use this option when you want to book accommodation/tour for an operator that does not display on the website but has product entered in Bookeasy.

From the MAIN MENU click on Operator Search

Enter part of operator name and hit Search

The Operator’s details will appear. Click Add Accommodation Booking or Add tour Booking located on the right of the Operators name under the Action heading.

This links you to the operators product page where you can select the criteria for the booking and search on availability. Once you are happy with your search click onto make booking. This will place the item in the shopping cart.

Click Proceed to Checkout.

Please complete all client information. At the very minimum, it is very important to complete all of the required fields (marked with *). Fill in any Comments too. To continue, press Click Here to Enter located at the bottom of the page.

The short version of the booking will now display. You will now need to process payment (using either the secure payment gateway or the Make Other Payment function as described above).

Once payment has been processed check that Balance Owing = $0.00

Press Click Here to View Itinerary and PRINT itinerary for client.

**Once the itinerary has been printed for the client, reiterate the booking and payment details. Don’t forget to highlight the directions on how to get to the accommodation. Thank the visitor for using your booking service and let them know they can also book online next time!

EXPLANATION NUMBER 3

Use this option when you want to book accommodation/tour for an operator that does not have inventory (rooms/rates/availability) entered in Bookeasy.

'Add Other Booking' functionality is used to manually put bookings into your system for operators who might not have inventory in their consoles, or for bookings that have already past.  Using this functionality does not take away from the operators availability.  This only creates a paper trail of the booking, as far as availability is concerned.

Do an operator search.

Select the operator and click on Add Other Booking.

Type in a description of the booking, and select a date.

Select the Number of persons, including adults, children, infants.

Enter the number of Days, Ages, and the Total Rate of the booking.

Now you can either enter in the clients details, or search for existing contact details.

Enter in the voucher number, the pick-up location, the pick up time and notes if required. Click here to update your changes.

Click Proceed to Checkout.

Take payments as normal by either using the 'Make Gateway Payment' button and entering in the credit card details, or by using the 'Record Other Payment' button, and taking a cash, eftpos, cheque, etc, payment.

To add other bookings against operators who do not have inventory in the system:

Do an operator search.

Select the operator and click on Add Other Booking.

Type in a description of the booking, and select a date.

Select the Number of persons, including adults, children, infants.

Enter the number of Days, Ages, and the Total Rate of the booking.

Now you can either enter in the clients details, or search for existing contact details.

Enter in the voucher number, the pick-up location, the pick up time and notes if required. Click here to update your changes. Make payments as normal.

 

To change a booking that is in the past to be a true reflection of the booking:

 

An example of why you would do this is if a customer booked a 5 night stay, but decided to leave after the 1st night.  You always want your itinerary to be a true reflection of the actual booking.  You would do add other booking against this operator, add it to the existing itinerary, then cancel the booking of the 5 night stay.  You can then refund the client the money back if need be.  If the customer does not get a refund at all, leave the booking as is.

Jot down the itinerary number you are adding the correct booking to.

Do an operator search.

Select the operator and click on Add Other Booking.

Type in a description of the booking, and select a date.

Select the Number of persons, including adults, children, infants.

Enter the number of Days, Ages, and the Total Rate of the booking.

Enter in the voucher number, the pick-up location, the pick up time and notes if required. Click here to update your changes.

Enter the itinerary number in the 'Add to Itinerary' number field.

Cancel the booking that is incorrect, and take payment/do a refund if need be.

 

 

Please note, when using the Add Other Booking functionality, the room details will not appear in the details column of booking details, but in the Internal Notes just below.  Please see screen shot below to see example of this.
