If a booking needs to be changed, there are a couple of options that can be used.  If it is an extra day needs to be added to the booking then a new booking can be added to the existing itinerary.  If there is a change of dates, room/tour, operator or number of persons, then the booking will need to be cancelled and the new booking can be added to the existing itinerary.  The 2 procedures are outlined below.

Add Booking to Existing Itinerary

Once a booking has been made you can add another day to it by attaching a new booking with the details to the existing itinerary.

First, check that the property you need to book is still available.

Go to Reservations and find the booking. Click on the (edit) icon that appears to the far right of the booking (this icon displays under the Action column). The short version of the booking will display.

Record the itinerary number and the details of the booking you wish to add to. You may wish to print a copy if required.

Then go to Accommodation or Tour Search and make a new booking with the required details. Once the item has been placed in your Itinerary/ Shopping Cart you will need to enter the itinerary number in the field displayed at the bottom of the field and then click Add to Current Booking.

The short version of the booking will then display. Your original booking will still be there and the new booking will appear underneath. The extra days will have changed the price of the booking. If the balance of the booking is zero then you do not have to do anything more. If the balance is showing a negative figure you have to refund money to the client. If the balance is a positive figure you will have to contact the client for further payment.

Cancel and Add Booking to Existing Itinerary

Once a booking has been made you can still change details (i.e. dates, number of persons, property, room type, etc) by canceling the booking and attaching the new booking with the correct details to the existing itinerary. This procedure must be followed if payments have been attached to the booking.

First, check that the property you need to book is still available and advise the visitor if the price has changed.

Go to Reservations and find the booking. Click on the (edit) icon that appears to the far right of the booking (this icon displays under the Action column). The short version of the booking will display.

Record the itinerary number and the details of the booking you wish to change. You may wish to print a copy if required. Press Cancel (displayed under the Action heading).

Then go to Accommodation or Tour Search and make a new booking with the required details.
