Setting up Retail

Booking Centres will work with a Bookeasy Project Manager to set up the Retail Manager Add On.  Products can be batch imported via a template (spreadsheet) supplied by the Bookeasy Project Manager OR items can be individually entered by following these steps;

STEP 1: Enter Category Types

1.Click Categories under the Retail Sales section of the Staff Console

2.Click ADD NEW ITEM to open the Add Category screen

3.Use the table below to complete the screen

4.Click Save

 

Category

Enter Category Type i.e.Books, Postcards, Maps, T-shirts, etc

Description

Enter Category Description

Internal/Web Sales

Tick relevant boxes i.e. Internal for internal sales only, Web Sales for Online Shopping

Account Code

Enter Account Code from the Booking Centre accounts system if applicable

Sort Order

Enter a sort order (1= top Category list, 2= second etc) otherwise Categories will be ordered alphabetically

 

Follow the steps above to enter each Category into the system

STEP 2: Enter Suppliers

1.Click Suppliers under the Retail Sales section of the Staff Console

2.Click Add Supplier open the Add Supplier screen

3.Enter the Suppliers details into the relevant fields

4.Click Save

STEP 3: Enter Products

1.Click Products under the Retail Sales section of the Staff Console

2.Click Add New Item open the Add Product screen

3.Use the table below to complete the screen

4.Click Save

 

Code

This code will be used to create the Bar Code.  The Code needs to be UNIQUE numbers/letters that applies only to this product. MAX 8 characters

Description

Name of product

Unit

Enter if required i.e. grams, kilos, etc

Category

Select at least one Category Type.  Up to 3 applicable Categories can be allocated to a product

Wholesale Price

Enter the Wholesale Price do not enter $ sign. Tick or un-tick the GST box as required

Retail Price

Enter the Retail Price do not enter $ sign. Tick or un-tick the GST box as required

Sales Tick Boxes

Tick the relevant boxes for Internal and/or Web (online) sales

Operator

If this item is a consignment item, select the operator from the drop down list. For more information, refer to Consignment Items

Commission Percentage

If this item is a consignment item, enter the commission percentage for this operator's product

Supplier

Select a supplier from the drop down list if applicable

Sort Order

Enter a sort order (1= first, 2= second etc) otherwise Products will be ordered alphabetically

Stock Level

Amount of this product in stock

Minimum Re-order Quantity

The minimum stock level allowable before triggering a re-order

Short Description

Enter a short description about the product, normally a brief intro

Long Description

Enter a long description about the product i.e. further information about a book, etc

 

* Please note that if you delete a retail product from Bookeasy, the Retail Sales Summary will include all sales for that deleted product under the “Unknown” category. We recommend you uncheck the “Web Sales/Internal Sales” boxes if you wish to no longer sell an item, as opposed to deleting it.

Once these steps have been completed, Retail Sales can now be processed via the Staff Console.
